Terms and Conditions

Walnut Farm provides self-catered glamping accommodation in five en suite yurt tents from its site at Walnut Farm, Melplash Dorset, DT6 3WB.

1: Bookings

Walnut Farm accepts  bookings from persons over 18 years of age and we reserve the right, without giving reasons, to refuse a booking.

 

When a booking is submitted through the online reservation system customers will receive an automated booking summary e-mail, to the e-mail address provided. The customer should check the email for any errors. Any issues must always be notified by email or telephone within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.

 

When you request us to make a reservation, you must provide us with your identification information including, but not limited to, your name, address, contact telephone number and email address.  It may be used for administration purposes solely by Walnut Farm and for sending the guest future promotional or marketing literature. Any information will remain confidential and is protected under the Data Protection Act 1988.

 

You must give us payment details for any reservation at the time of booking. We will take your credit/debit card details (which must be valid beyond the date of your intended stay) and you authorise the use of this card for any sums that become due to us, including for any extras incurred during your stay. Bookings made online can be paid by debit or credit card. Payments can also be made over the phone by calling our office or by balance transfer.

 

A 30% deposit is required for bookings over 30 days away, and the balance will be automatically collected 30 days before arrival. For bookings less than 30 days away, the payment will need to be made in full.

 

When you request a reservation and we quote any Rate(s), the Rate(s) will apply only to the provision of accommodation unless we specifically state otherwise. Additional charges may apply for other Services including, but not limited to, meals, drinks, room service, leisure, fitness or entertainment facilities or activities, use of any function or other rooms, or any other equipment, services or facilities. We will inform  you of Rates payable for such additional Services on request.

 

We may alter any of our Rates without prior notice but if the Rate of any Service increases between the time when you make a booking and the date when the booked accommodation or other Service is to be provided, any increase in the Rate will not apply to your booking. 

 

Your request to us to make a reservation for you will constitute an offer by you to purchase the services but whether we accept any such offer will be for us to decide in our discretion. Only once we tell you that we accept your request for a particular reservation and confirm to you the booking reference, will there be a booking. At that point, a binding contract between us for the reservation of a stay or other services will come into existence. 

 

2: Occupancy

Our yurts are designed for a maximum of six people: with two people in the Super king bed and up to four additional single mattresses. A travel cot can be provided at an additional cost if required. Extra adults are charged at £35 per night. Children, up to the age of 18, are charged at £20 per night.

 

Any child under the age of 18 may only stay at Walnut Farm if accompanied by a parent or guardian who is also staying with us. 

 

We reserve the right to change your yurt allocation at any point during your stay for any reason.

 

Group bookings are accepted entirely at our discretion. We do not accept stag parties.

 

Check-in is from 3.30pm on the day of your arrival and check-out time is 9.30am. We reserve the right to make a surcharge for a departure later than ten minutes from the agreed check-out time, as this adversely affects the quality of provision we are able to offer the next incoming guest. Early or late check ins may be available for an additional charge.

 

3: Cancellations

We understand that sometimes things don't go quite to plan, if you do need to cancel your stay below are our cancellation terms:

 

  • Guests can cancel up to 60 days prior to the date of the booking, however a cancellation fee of 25% (retained by the campsite) will be deducted from the refund (plus any agents non-refundable booking fee).

 

  • For cancelations within 60 days of your arrival date we will try to re-sell your booking & if we do we will refund in full less 25% costs/admin fee. If we are unable to re-sell your booking no refund will be payable, therefore in order to cover unforeseen circumstances, we strongly recommend that you take out cancellation insurance or check your annual travel insurance policy to cover any spent cost should you cancel for any reason outside your or our control.

 

  • We reserve the right to refuse any booking or cancel any bookings subject to refunding any sums you have paid without further liability on our behalf.

 

  • We cannot accept responsibility or pay any compensation where the provision of the holiday is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control.

 

We strongly advise guests to take out holiday cancellation insurance in advance of their trip.

 

4: Date Changes

Where possible, we will try to help you change the date of your booking if you can no longer make it, however this is entirely at the discretion of our Customer Support team and if they cannot make a change, then the standard cancellation policy will apply. All date changes must be requested more than 60 days in advance of the original booking, otherwise the standard cancellation policy will apply.

 

5: Damages / Breakages and Cleaning

For damages or breakages: Guests are advised to check the accommodation unit/s for any damages or breakages found at the beginning of their stay and to inform us of any that they find. Please let us know if anything gets broken so we can replace it for our next guest. We will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the right to request payment of up to £100. Walnut Farm reserves the right to take payment from the banking details on file.

 

The cost of replacing keys lost by guests is charged at £25 each.

 

The guest is responsible for leaving the accommodation in good order, clean and tidy and in the same condition as they found the yurt on arrival when vacating. Guests must remove all food items and personal belongings and follow our instructions about where to place rubbish and recycling and return any moved inventory items to each accommodation unit or they may be liable for extra cleaning costs. If the accommodation unit is not left in an acceptable condition and Walnut Farm has to carry out extra cleaning above and beyond what they would normally expect £50 will be charged.

 

It is the guest's responsibility to close and lock the yurts when they are not on site. Walnut Farm cannot be held responsible for the guest's personal property which is not locked away inside the yurt. Guests bringing their own bicycles should ensure they are locked and left outside the yurt, please bring locks with you. Walnut Farm cannot be held responsible for damage or theft to bicycles left on the property. Bicycles are not permitted inside the yurts.

 

6: Site Rules

In order to make your stay as pleasant as possible, all guests must keep to rules of behaviour listed here, behaving in a considerate and safe manner to all people and animals onsite.

 

  • Noise: To respect fellow glampers we ask that there are no high noise levels after 9.00 pm, with all noise to stop by 11.00 pm. We do not allow amplified music or drumming.

  • Fire Pits / BBQs: The fire pits/ BBQs fire bowls must be kept within the designated areas and at a minimum of 1 metre from your accommodation, and only wood provided/purchased from us can be used for wood burning stoves /fire bowls. Fireworks and sky lanterns are not allowed as they pose a risk of fire and are a danger to livestock.

  • The Countryside: We hope you love the natural environment as much as we do! We ask that you consider the Countryside Code including the following:

    • Leave gates as you find them, closing a gate if found closed.

    • Keep to public footpaths.

    • Do not walk across crops (this includes long grass).

    • Leave no trace on the land. We provide a variety of bins in your accommodation. There are opportunities for recycling through our labelled bin system.

  • Swimming Lake: Our natural spring fed swimming lake is available for your use during your stay. The water is up to three metres deep. A sign signifying deep water is in place and a life ring provided. There is no life guard in attendance and guests use the lake at their own risk. Children should never be permitted to use the lake unattended by a responsible adult.

 

If the Site Rules are breached, in serious circumstances, we may ask you to terminate your stay without a refund.

 

Please note that essential maintenance activities may be carried out on or in the accommodation during your stay without you being entitled to any compensation.

 

The property owner is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner’s opinion, the behaviour of the holidaymaker and/or their party is unacceptable.

 

7: Pets

Well-behaved dogs can be accommodated by prior arrangement, for which we make a charge of £20 at point of booking. You must not leave dogs in the yurts or on the site unattended, nor allow them on furnishings. If your dog damages the property or furnishings in any way, please notify us so that we can come to a compensatory arrangement if necessary. The property owners cannot be held responsible for any accident or injury to a dog during their stay. Other pets or animals are not permitted.

 

8: Car Parking 

When you park or arrange for parking of your vehicle on our property, you accept the risk of theft or damage of or to your vehicle and property in it if it is caused by any person other than our staff or contractors. 

 

9: No Smoking Policy

The yurts are NO SMOKING PROPERTIES. Smoking is strictly prohibited inside the yurts. Failure to comply will result in an additional fee of £400 to cover deep cleaning and re-decoration. Any guests smoking outside of the yurts are responsible for disposing of their cigarette buts in a bin and must not litter the surrounding area.

 

10: Complaints

We try exceptionally hard to ensure your stay with us is memorable for all the right reasons, and our many returning guests testify to the excellence of our service.  However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the guest to make any such problem known to us immediately it becomes apparent, thereby giving us the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained. We will make every endeavour to rectify any identified problems as soon as is reasonably possible.

 

11: Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property on our website, in marketing and in email communications, over time alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.

 

The property owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

 

12: Liability

Walnut Farm shall have no liability for any death or personal injury unless this results from the negligence of Walnut Farm. In addition, Walnut Farm accepts no responsibility for the safety of, or the loss or damage to the guest’s possessions whilst on our property or land. Exception to this is if damage or loss is caused by negligence by Walnut Farm or its employees.

 

13: Law

The contract between the guest and Walnut Farm is governed by English Law. Any dispute the guest has with Walnut Farm shall be dealt with in an English Court of Law.

 

14: Changes to these conditions

We may from time to time change these Conditions without giving you notice. 

 

15: Declaration

I have read the booking conditions and agree on behalf of all members of my party to abide by those conditions. I understand that any balance payments must be paid at least one month before the holiday is due to start. I am over 18 years of age.
